changeout Privacy Policy

Effective date: October 8, 2026

3D Prints LLC ("we," "us") makes changeout, a field-service app that heating and air-conditioning companies use to run their business. This policy covers the changeout mobile app and website. It explains what information we handle, why, and the choices you have.

Who this policy covers

  • Team members: owners, office staff and technicians whose company gives them a changeout account.
  • Customers of those companies: people whose names, addresses and service history a company keeps in changeout.

Each company decides what customer information it enters and is responsible for it. We store and process that information for the company, following its instructions. If you're a customer of a company that uses changeout, contact that company with privacy questions, and we'll help them answer you.

Information we collect

  • Account details: your name, email address, phone number, role and the company you work for.
  • Customer and job records: customer names, phone numbers, email addresses, service addresses, access notes, equipment details, appointments, estimates, invoices and payment records.
  • Photos and checklists: pictures and notes technicians add to jobs. Photos are stored privately for your company.
  • Time records: when you clock in and out, and your travel, job and shop time.
  • Location: a technician's device location, only while they're clocked in. It powers the dispatch map and the arrival estimate in on-the-way texts, and sharing stops when you clock out.
  • Calls, texts and emails: for companies that use these office features, call recordings and transcripts, and the texts and emails sent to customers. Companies that record calls are responsible for giving any notice the law requires.
  • Device information: a push notification token for your device, so the app can send you alerts.

How we use information

  • To run the service your company signed up for: scheduling, dispatch, estimates, invoices, payments and records.
  • To send appointment reminders, on-the-way texts and missed-call text-backs to customers on the company's behalf.
  • To provide AI-assisted features, such as call summaries and the in-app assistant. These features only suggest; a person approves any change before it's saved.
  • To keep the service secure, fix problems and provide support.

We don't sell personal information. We don't show ads or use your information for advertising.

Who we share it with

We share information only with service providers that help run changeout, and only what each one needs:

  • Supabase: database, sign-in and file storage, in the United States.
  • Vercel: website hosting.
  • Expo: mobile app updates and push notifications.
  • Twilio: phone calls and text messages.
  • Resend: email delivery.
  • Anthropic: AI features such as call summaries and the assistant.
  • Intuit QuickBooks and Stripe: accounting and payments, only if your company connects them. Card numbers go directly to the payment processor; we don't store them.
  • A mapping provider: turning service addresses into map locations.

Each of these providers is bound by its own data-protection terms to protect information at least as well as this policy does, and to use it only to provide its service.

We may also disclose information when the law requires it, to protect someone's safety, or as part of a sale or merger of the business under the protections in this policy.

How long we keep it

We keep a company's information while its account is active, so it keeps its job and invoice history. If a company closes its account, we delete its information within 90 days, except records the law requires us to keep. Deleted information can remain in backups for up to 30 days.

Your choices and deletion requests

  • Team members can ask their company's admin to correct or remove their information, or email us at office@3dprintsusa.co. We'll delete your account and personal information within 30 days, except records your company must keep, such as invoices and time records.
  • Customers of a company that uses changeout should contact that company first. We'll help them handle requests to see, correct or delete your information.
  • Text messages: reply STOP to any appointment text to stop receiving them.
  • Location: you can turn off location access in your phone's settings. The dispatch map and arrival estimates won't work for you while it's off.

How we protect information

Information is encrypted in transit. Each company's data is kept separate from other companies', and what each person can see depends on their role. Technicians can't see office calls, texts or emails, and connection keys for outside services such as QuickBooks are stored encrypted.

Children

changeout is a business tool for adults. It isn't directed to children under 13, and we don't knowingly collect their information.

Changes to this policy

If we change this policy, we'll post the new version here with a new effective date. For significant changes, we'll also email company owners.
